NDIS Provider Portal Transition to myID and RAM: What Providers Need to Do in 2025

TL;DR (Helpful Content first)

– From 11 August 2025, providers can transition from PRODA to myID + RAM to access NDIS portals.

– Everyone needs a personal myID; principal authorities link the ABN in RAM and authorise staff.

– Identity strength matters: staff usually need Standard; principal authorities may require Strong.

– Start early: set up myID, link business in RAM, authorise staff, test logins, and brief your team.

Why this matters now

The NDIA is strengthening identity verification so only correctly identified and authorised people can access participant data and the my NDIS provider portals. Moving to myID + RAM also aligns NDIS with other government platforms, reducing fraud risk and standardising access.

What actually changes (and how it affects your day-to-day)

1) New login flow

Staff: log in with myID (personal email) → accept RAM authorisation → access NDIS portals.

Principal authorities/admins: log in with myID → link ABN in RAM → create/assign authorisations to staff.

2) Identity strength requirements

Identity strength (Standard vs Strong) depends on the service. Staff generally need Standard; principal authorities may need Strong.

3) Transition timing

From 11 Aug 2025: transition available; NDIA is running info sessions and published a provider pack. Watch for final decommissioning milestones.

Step-by-step: your transition plan

1) Create/upgrade myID — verify to Standard or Strong; use personal email.

2) Link your business in RAM — principal authority links ABN, becomes business admin.

3) Set roles and authorise staff — assign role-based access in RAM, invite staff via personal emails.

4) Staff accept RAM authorisation — staff accept and log in with myID.

5) Test and document — run login drill; document who manages access.

6) Train & support — circulate NDIA guides; register for info sessions.

Risk controls & common snags (and how to fix them)

– No passport / can’t reach Strong: Many services accept Standard; upgrade later if needed.

– Staff used work emails: myID must use personal emails; re-issue RAM invitations.

– Forgot to remove leavers: run quarterly RAM audits; revoke access for staff who leave.

– Confusion about roles: map job titles to RAM roles; apply least-privilege principle.

Mini case example (SIL provider, 40+ staff)

1) CEO links ABN in RAM with myID.
2) CEO assigns ops manager as authorisation admin.
3) Ops manager bulk-invites support coordinators and finance staff.
4) Team runs login drill; two leavers identified and removed in RAM.
5) Onboarding pack updated with myID setup for new hires.

FAQs

1) Do staff need their own myID? Yes. Each staff member must create their own myID; sharing is not permitted.

2) What identity level do we need? Standard for most services; Strong may be required for some.

3) Is PRODA gone already? From 11 Aug 2025 providers can transition; final decommissioning dates will follow.

4) Where can we get official help? NDIA news, provider guides, info sessions, and RAM’s official site.
